12 Events Hidden Costs You Need to be Prepared for
You found the perfect space, the rental fee fits your budget, and you're ready to sign. Then the final invoice arrives and it's 30% higher than you expected.
It happens to first-time and experienced hosts alike. The venue fee is rarely the full cost of an event. Here are 12 costs that regularly catch people off guard, plus what to ask before you commit.
1. Service charges and gratuity
Many venues add a service charge to food and beverage, often somewhere between 18% and 25%. It's usually listed separately from the menu prices, so it's easy to miss when you compare quotes. Ask: Is gratuity included in the service charge, or is it extra?
2. Sales tax
Austin's combined sales tax rate is 8.25%, and it generally applies on top of food, drinks, and sometimes rentals and fees. On a large order it adds up fast. Ask: Which line items are taxed?
3. Food and beverage minimums
Many bars and restaurants don't charge a rental fee. They require you to spend a minimum amount instead. If your group doesn't reach it, you may pay the difference anyway. Ask: Does the minimum include tax and service charge, or only the food and drinks?
4. Bartender, security, and staffing fees
Bartenders, security, coat check, and event staff are often billed separately, sometimes with a minimum number of hours. Larger guest counts usually require more of each. Ask: How many staff does my guest count require, and what's the hourly rate?
5. Audio, video, and tech
A microphone, a projector, a playlist through the house speakers, or a DJ setup can all carry a fee. Some venues include basic sound, but not a technician to run it. Ask: What's included in the AV, and is there someone on site to operate it?
6. Rentals and décor
If the venue doesn't supply tables, linens, chairs, or lighting, you'll rent them, and delivery and pickup fees add to the total. Even a well-furnished venue may need extras like heaters, fans, or additional seating. Ask: What furniture comes with the space, and what do I need to bring?
7. Load-in, setup, and teardown time
Many venues charge extra for hours outside your event window, including the time your vendors need to set up and break down. A 4-hour party can become an 8-hour booking. Ask: What are the access times for vendors, and is there a fee for early arrival or late departure?
8. Insurance and permits
Some venues require event liability insurance, and certain events need permits or a temporary alcohol permit. A one-day policy isn't expensive, but it's easy to forget. Ask: Do you require a certificate of insurance, and who handles permits for outside vendors?
9. Weather backup plans
Austin weather can turn quickly, and a rooftop or patio event needs a plan for rain, heat, or wind. Tents, misters, or heaters can be a significant extra cost. Ask: What's the rain plan, and who pays if we need to move indoors?
10. Parking and valet
Downtown events often mean paying for valet or garage parking for guests. It's easy to overlook and can run into the hundreds. Ask: Is there parking on site, and what are the nearby options?
11. Cleaning and damage deposits
A refundable deposit is standard, but cleaning fees, trash removal, and charges for confetti, glitter, or open flame are not always refundable. Ask: What triggers a cleaning fee, and what's covered by the deposit?
12. Guest count changes and cancellation fees
Most venues set a final headcount deadline, and you pay for that number even if fewer people show up. Changing the date or canceling can also cost you part of your deposit. Ask: What's the deadline for final numbers, and what's the cancellation policy?
How to avoid surprises
- Ask for an all-in quote that lists every fee, service charge, and tax, so you're comparing totals and not base prices.
- Build in a buffer of 10 to 15% for the costs you can't predict.
- Get everything in writing, including what's included, the timeline, and the cancellation terms.
A clear budget up front makes the event easier to plan, and a venue that answers these questions openly is usually one you can trust.
